PURPOSE OF POSITION:

Assist sales staff with all clerical requests

PRINCIPAL DUTIES AND RESPONSIBILITIES (to include but will not be limited to):

Assist WXRT with all clerical and client requests  Assist with all aspects of sales orders Process co-op invoices and scripts Track sales office attendance for WXRT Switchboard backup Backup other assistants as needed Keep sales one sheets updated Other duties as assigned DAILY Sales orders (all categories): o    Input sales orders into IBS on the same day they come in for WXRT o    Sales order entry on the same day for WXRT o    Print and review for accuracy on the same day o    Communicate immediately with AE/GSM with any issues with finance o    Process all write-offs received from the GSM Fulfill  requests for invoices and send out the same day they are requested All clerical requests from WXRT sales staff Other duties as assigned WEEKLY Switchboard lunch coverage Pull and print the weekly comps to give to GSM (due Monday by 9AM) Compile weekly activity reports and send to GSM (due Monday) Do the Weekly Presentation Summary and send to the GSM (due Monday) Do the Account Executive Tracker  (due Monday) Weekly billing by given to the AE (due Monday) Update AE Budget reports and give to GSM (due Monday) Other duties as assigned MONTHLY Trex expense reports for GSM Notarize and mail co-op invoices and scripts Other duties as assigned QUARTERLY Work on Key and Target Account Profiles with GSM Other duties as assigned Preferred Skills/Experience:

·      College degree/or minimum 2 years equivalent experience preferred Ability to handle multi projects simultaneously critical  Superior time-management and organization skills mandatory Highly proactive person with keen judgment essential Windows Microsoft Office Applications (Intermediate to advanced level) Graphic/Scanning programs a plus General Office Equipment (copier, fax, printer) Microsoft Word, Excel, PowerPoint, and Outlook Typing skills of a minimum of 50 wpm
